Add, modify and delete users

How, as a UserManager, you can add users and modify settings when so required

In order to add new users as an office worker, you need to have the role of UserManager.

User list

Through the Users menu, you can view a list of all users in YouProvide, including accountancy firm employees and client users:

Utilize the selection button to view only Employees or only Client users. Use the search box to quickly find a user based on their name or email address.

Adding a User

When adding a user as an office worker, they will always be created as a new employee for your own office. You cannot create client users here.

Use the 'Add' button to create a new employee. You can configure the following details:

  • First Name
  • Last Name (the system will automatically set the initial display name as First Name + Last Name; the user can later adjust this if desired)
  • Email Address (the user must log in with this email address)
  • Active (an inactive employee cannot log in to YouProvide)
  • Roles (choose here 1 or more roles that the user should have. This can always be adjusted later)
  • Clients (these are the clients for which the user gets automatic access to their Projects) - not mandatory

Once the user is added, they will automatically receive an invitation via email:


 

Why link a user to a client?

Once a project has been created for a client, all accountancy employees can always be linked to that project, granting them access to the PBC lists within the project.

You link a team member to a client if you want this team member to:

  • get automatic access to all projects of that client (usually for the team members working for the client)
  • view the client in the client list

User modifications

If you need to modify an existing user, please note that you cannot change the email address anymore. This email address is a fixed factor for the user's login.

Changes in roles will take effect the next time the user logs in.

Delete user

A user can be deleted if they have not engaged in any activities in YouProvide. Otherwise, it is recommended to deactivate the user instead.
