How to add clients to YouProvide

YouProvide is a standalone system, with a client list that is not dependent on other systems or databases. Simply input the clients into YouProvide from whom you wish to request documents when creating lists.

You can access a complete list of all your clients through the main menu Clients:

If you do not see this menu option, it means you do not have the necessary permissions. Please contact an application administrator within your organization.

Structure

Many clients have multiple fiscal entities, for which you may want to create separate PBC lists. In YouProvide, you establish this structure by identifying the relevant entities for each client under the section Business Information:

A client always has at least one entity. The client's name does not need to match that of an entity. You can choose a client name that is clearly recognizable within your organization.

Client Code

If you wish, you can assign clients and entities their own client code. For example, the customer number from your CRM. It can be helpful for searching, but it is not mandatory.

Address Information

You can enter the client's address information, Chamber of Commerce number, and SBI code for your own reference. This information is not used within YouProvide, so you can also leave it blank.

Users

Under the Users section, you can see who all might be involved in the tasks for this client. You can differentiate between:

  • Team Members: Here, you can create a list of colleagues who are part of the team for this client by using the "Add" button. This will make it easy for you to add them to new projects for this client in the future.
  • Client Users: This list is automatically generated when you share a PBC list for this client with users of the client. You don't need to create client users manually. Even if the client internally shares the list with colleagues, they will automatically appear in this list. This way, you can always track which individuals are involved in the PBC lists for a client.

You have the option to remove users: detach them from this client. This action does not delete the user from the system, however when removing team members they lose access to any projects related to this client.

Projects

Under the Projects section, you can view the projects that are currently active or have been completed for this client. From here, you can easily access the project, or review archived projects.
